Ultra Solution inc. (“Ultra Solution,” “we,” “us”) places great importance on protecting your personal information. This policy explains what information we collect, why, how we use and protect it, and what your rights are under Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.

It applies to the website ultrasolution.ca and to all of our communications and services on the South Shore of Montreal.

We only collect the information necessary for our purposes. Depending on your interaction with us:

Information you provide

• Quote form: name, phone number, email, city or property address, requested services, and any details you enter in your message.
• Communications: information you send us by phone, email or text message.

Information collected automatically

• Browsing data: IP address, device and browser type, pages viewed, date and time — only if you consent (analytics cookies).
• Essential cookies: language preference, form anti-fraud protection (see section 8).

We do not collect any sensitive information (health, online banking data, etc.) and never ask for your social insurance number.

3. Why we collect this information (purposes)

• Respond to your requests and prepare a quote;
• Schedule, perform and follow up on our services;
• Reach you regarding an appointment, a project or an emergency;
• Improve our website and services (aggregated statistics);
• Meet our legal and accounting obligations.

We never use your information for other purposes without your consent.

4. Consent

By sending us your information (for example via the quote form), you consent to our using it for the purposes described above. Non-essential cookies are only enabled with your explicit consent. You may withdraw your consent at any time by contacting us or by changing your cookie preferences.

5. Sharing of information and service providers

We never sell or rent your personal information. We share it only with providers who help us operate our website and services, under contract and strictly as needed:

• Form processing (Web3Forms) — secure routing of quote requests by email;
• Text notification (Twilio) — alerting our team of a new request;
• Hosting and security (GoDaddy, Cloudflare) — website hosting and protection against attacks;
• Analytics tools — anonymized audience measurement, only with your consent.

We may also disclose information where required by law (court order, legal obligation).

6. Communication outside Quebec

Some of our providers (notably Web3Forms, Twilio and Cloudflare) may process or host data outside Quebec, including in the United States. Before any communication outside Quebec, we assess that the information receives adequate protection, through appropriate contractual and security measures, in accordance with Law 25.

7. Retention and destruction

We keep your information for as long as necessary for the purposes described, or to meet our legal and tax obligations (generally up to 7 years for client records). When the information is no longer needed, we securely destroy or anonymize it.

8. Cookies and tracking technologies

Our site uses cookies grouped into four categories:

• Essential (always on) — required for the site to work: language preference, in-progress form, anti-fraud protection;
• Functional — remembering your display preferences;
• Analytics — anonymized traffic statistics;
• Marketing — measuring the effectiveness of our campaigns.

No non-essential cookie is placed without your consent. You can change your choices at any time via the “Manage cookies” link at the bottom of every page. Your consent is kept for 12 months.

9. Security

We implement reasonable security measures (HTTPS-encrypted communications, restricted access, reputable providers) to protect your information against loss, theft and unauthorized access. As no system is infallible, we cannot guarantee absolute security, but we are committed to acting quickly in the event of an incident.

Under Law 25, you have the right to:

• Access the information we hold about you;
• Have corrected any inaccurate, incomplete or equivocal information;
• Withdraw your consent to its use;
• Request that dissemination cease or that information about you be de-indexed;
• Obtain the portability of your computerized information (on request).

To exercise a right, write to our privacy officer (section 1). We will respond within 30 days. If our response does not satisfy you, you may file a complaint with the Commission d'accès à l'information du Québec: cai.gouv.qc.ca.

11. Information concerning minors

Our services are intended for adult property owners or managers. We do not knowingly collect information from individuals under 14 years of age.

12. Privacy incident

In the event of an incident presenting a risk of serious harm, we will take reasonable steps to reduce its consequences, keep a register of incidents, and notify affected individuals as well as the Commission d'accès à l'information, as required by law.

13. Changes to this policy

We may update this policy to reflect changes to our practices or to regulations. The update date appears at the top of the page. We encourage you to review it periodically.
